OFFICE ADMINISTRATOR
An established, award-winning architectural firm based in Walnut Creek and Oakland, California is seeking a highly skilled Office Administrator. This is a key position working with the Principals and all LCA employees.
REPORTS TO:
CEO
REQUIREMENTS:
- Minimum of 10 years in office management and Humans Resource functions
- Ability to process in-house payroll using Ajera accounting software
- Bachelor’s degree
RESPONSIBILITIES:
- Minimum of 10 years in office management and Humans Resource functions

Ability to process in-house payroll using Ajera accounting software

Recruiting new employees and processing all new hires and terminations

Manage administrative staff
-
All phases of payroll from timecards to bi-weekly and quarterly tax reporting processed through Ajera software. Adhere to strict deadlines for payroll and tax deposits.

Year-end processing of payroll reports and W2’s

Funding of 401(k) after each payroll and funding of HSA monthly

Preparing 401(k) compliance testing data

Knowledge of Labor Laws – wage and overtime rules

Organize and calendar staff performance reviews

Key person and contact with LCA insurance brokers (auto, commercial business policies, E&O insurance, Workers Compensation insurance including processing yearly audit)

Work with LCA insurance broker to obtain the best medical, dental, and vision plans yearly

All HR duties including mediation

Knowledge and management of Aflac policies

Work with Property Managers at both the Walnut Creek and Oakland locations

Key person to work with the current landlords and LCA CEO on lease renewals

Able to multitask and work independently and with others along with meeting all deadlines

Work with LCA immigration attorney regarding H1bVisa and sponsoring employees

Stay up to date with new yearly Labor Law changes

Approving LCA expenses
This is a 40-hour-in-office position.

US Citizenship, or current INS authorization to work in the United State is required. Candidates that are living in the East Bay will be given first consideration. Candidates that are in the process of relocating – include the date(s) that you will be in the Bay Area and available for interviews.
